Secretary

This post is at present unpaid and may well suit a retired person whose previous work experience was of a similar nature.

We anticipate the area of expertise would include the following:-

To undertake all necessary secretarial duties.

Preparation of minutes of meeting.

Ensure Chairman signs previous minutes.

Prior to meetings prepare and send out the agenda and minutes of the last meeting.

Arrange venues and any necessary refreshments.

Attend meetings.

Keep Chairman informed throughout meeting of any relevant points that are, or need to be, brought up.

Advertise changes of officers in good time for nominees to be proposed.

Send job descriptions to prospective applicants for committee posts and arrange for these to be available on the party's website

Ensure Minutes of last meeting are included in the Annual Report.

Ensure constitutional and non-constitutional motions are received in time and inserted in the Agenda.

Send Agenda and details of venue to all members at least 2 weeks before meeting.

Keep on file a copy of all correspondence relating to the party.

Action any correspondence relating to the running of the party, consulting all officers as necessary.

Answer queries from members on party business.

Have a working knowledge of the Constitution and Policies and advise on it as necessary.

Liaise with other Party Officers on matters that fall in their domain.

Be aware of all that is happening in the Party so that appropriate action can be taken when necessary and those concerned are kept up to date.
